Today I enter week 3 of my mentorship. I received a google meet invite for our weekly operations team meeting for tomorrow morning. EXACT Sports major camps throughout the summer are 3-day events. Campers can either sign up as a residential (staying in a designated local hotel) or as a commuter. Either way, as part of the payment, campers will receive meals and snacks. It is my job to find catering options for both lunch and dinner. This comes with its complications. For example, the Dallas boy’s camp has 320 boys signed up. Each camp location runs 2 camps back to back. The boy’s camp was followed by the girls. Therefore when communicating with catering companies I have to make it clear that we are doing two separate events with different numbers. All meals will have to be delivered at specific times listed by Chris Gordon. For this project, I knew I was going to have to get very organized. The spreadsheet that was created by Hannah Murphy helped a lot. From here we had separate tabs for onsite lunch and dinner options. There were tabs for specific information needed like, the location/address, distance away from the venue/hotel, average meal cost, yelp rating, open hours, and even a section for their online menu. This information would be extremely important later on in the confirmation process. Again, like all of the documents used and owned by Chris and Hannah. It is organized using color-coding. Red if it is a no for some reason. Maybe for example the business cannot deliver food to the venue location. Yellow if we are in contact and have a lead. And green if we get confirmation of doing business with them.
